SECRETARY – BOARD OF COMMISSIONERS OFFICE/BUDGETING #08-020            $32,622 - $39,155

 

Responsibilities:Under the supervision of the Board Coordinator and the Budget Director, provides a variety of secretarial support services, including word processing correspondence, reports, and other documents, preparing agendas and taking minutes at various meetings, coordinating large mailings, answering telephones, and maintaining office filing systems.  Prepares agendas for Finance Committee meetings upon direction of the Board Coordinator and Budget Director based on input from administrators, department heads, elected officials, commissioners, correspondence received, and issues and projects in progress.  Assembles meeting packets, makes copies, and distributes to parties. Drafts and types correspondence, reports, budget documents, legal and public notices, spreadsheets and other documents for the, Board Coordinator, Budget Director and Board.  Prints special resolutions as assigned.  Assists the Budget Director on the budget process by proofreading, distributing departmental budget packets, copying, assembling, and distributing the final budget.   Answers telephones and routes calls to appropriate County offices, and receives and screens visitors.  Researches issues by calling other counties or agencies, and collecting and compiling information.  Assists the Board Coordinator in planning and coordinating special events undertaken by the Board.  May attend meetings, take minutes of various meetings upon request, and transcribes meetings from digital recordings as assigned by Board Coordinator or in absence of other support staff.  Performs a variety of accounting related functions such as preparing vouchers for payment and entering to system, calculating and entering payroll, and preparing purchase orders and other duties as assigned.

 

Essential Job Functions: With or without accommodations, this employee must be capable of performing duties and tasks typical of most office personnel.  Must have the ability to perform the following:  Ability to access departmental files.  Ability to enter and retrieve information from computer.

Ability to lift and/or move boxes of files or tables, chairs and other equipment for conferences and meetings.  Must be able to work daily as daily attendance is a requirement of this position.

 

Degree/ Experience: Must be a high school graduate or have equivalent education.  Some advanced course work in data processing, secretarial, accounting, and related areas required.  Must have at least one year of secretarial or related administrative work experience.  Experience working with Boards or other governmental organizations helpful.  Must be proficient on various software applications and have the ability to learn new applications quickly.  Must pass a Clerical Skills battery of tests.  Some evening hours may be required.  Must be able to work in a professional setting.  Must submit a cover letter and resume with your application.
